Deadline for Submitting Publications in the SEP System: Please Enter by April 30, 2025

Dear colleagues,

We would like to remind you to submit your publications for the year 2024 in the Self-Registration System (SEP) by April 30, 2025.

The University Bibliography of Freie Universität Berlin has been collecting all submitted publications since 1981, and is used for performance-based funding calculations. All FU publications submitted since 1993 are permanently searchable and can be exported for further processing. Open Access publications are clearly marked.

Please make sure to enter all relevant publications by the mentioned deadline. An information sheet with further details and instructions for submitting publications in the SEP system is attached.

Key Information about SEP in Brief


Simplified Data Entry with DOI
Using a DOI makes data entry in SEP easier—the entry form will be automatically filled. FU staff will only need to manually add themselves through the SAP system ("Add Author," "Search FU Employees"). Please note: if the message "A publication with this DOI already exists" appears, the publication has already been registered in SEP.

Who Can Enter Publications in SEP?
Anyone with a ZEDAT account and an active employment status at Freie Universität Berlin can enter publications for themselves and others. Non-permanent staff (e.g., emeriti, adjunct lecturers, guest professors, fellows, doctoral candidates) should contact the SEP coordinators at their subject-specific libraries.

Which Publications Can Be Entered (Electronic or Print)?
Monographs, edited books, journals, book chapters, journal articles, "grey" literature (e.g., working papers, private prints), reviews, patents, radio and TV broadcasts (by the author), and other electronic publications. Please do not enter interviews or lectures, as these are not considered.

Important: Only enter publications that were created during the author’s time of employment at Freie Universität Berlin.
